{"id":650,"date":"2015-09-08T18:28:42","date_gmt":"2015-09-08T23:28:42","guid":{"rendered":"http:\/\/facultycorner.com\/main\/?p=650"},"modified":"2015-09-08T18:30:08","modified_gmt":"2015-09-08T23:30:08","slug":"email-tips-and-tricks","status":"publish","type":"post","link":"http:\/\/facultycorner.com\/main\/2015\/09\/08\/email-tips-and-tricks\/","title":{"rendered":"Email Tips and Tricks"},"content":{"rendered":"<p><a href=\"http:\/\/facultycorner.com\/main\/wp-content\/images\/email-screen.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"alignright size-thumbnail wp-image-660\" src=\"http:\/\/facultycorner.com\/main\/wp-content\/images\/email-screen-150x150.jpg\" alt=\"email-screen\" width=\"150\" height=\"150\" srcset=\"http:\/\/facultycorner.com\/main\/wp-content\/images\/email-screen-150x150.jpg 150w, http:\/\/facultycorner.com\/main\/wp-content\/images\/email-screen-200x200.jpg 200w, http:\/\/facultycorner.com\/main\/wp-content\/images\/email-screen-80x80.jpg 80w\" sizes=\"(max-width: 150px) 100vw, 150px\" \/><\/a>We&#8217;ve all sent emails and then wish we could have taken them back. \u00a0 Sometimes, it&#8217;s just something minor and annoying like a typo, or sometimes you reread the email later and realize the tone isn&#8217;t quite what you intended.<\/p>\n<p>Some people might not be aware that all emails that pass through a <a href=\"http:\/\/www.ediscoverylaw.com\/2010\/01\/personal-emails-retained-by-public-schools-email-system-not-subject-to-michigans-freedom-of-information-act\/\">school server are subject to FOIA<\/a> \u00a0(Freedom on Information Act). \u00a0 Even personal emails can be retained and used against you if they go through the school&#8217;s network. \u00a0 \u00a0Districts are also <a href=\"http:\/\/www.itworld.com\/article\/2779558\/security\/the-law-requires-email-archiving.html\">required to keep emails<\/a>\u00a0\u00a0in an archive, so even emails from years ago could be retrieved. The Local 743 suggests not using the school&#8217;s email for personal\u00a0(non-school related) communication. \u00a0The Union keeps personal emails on file for union business, be sure to keep that information updated.<\/p>\n<p>Another little known fact is that emails take up very little space and many people use Outlook as a way to store old emails that you might need to revisit. \u00a0 You can even search by subject and sender. \u00a0 I have made additional folders to store school related information by the year, so that I can attempt to keep my inbox area uncluttered. \u00a0 As you can see in the image below, I have separate folders for school years going back to 2009. \u00a0 \u00a0I don&#8217;t store all emails there, just informative emails that relate to that school year (final exam schedule, educational development days, schedules, etc.)<\/p>\n<p><a href=\"http:\/\/facultycorner.com\/main\/wp-content\/images\/email-folders.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"size-full wp-image-653 aligncenter\" src=\"http:\/\/facultycorner.com\/main\/wp-content\/images\/email-folders.jpg\" alt=\"email-folders\" width=\"450\" height=\"317\" srcset=\"http:\/\/facultycorner.com\/main\/wp-content\/images\/email-folders.jpg 450w, http:\/\/facultycorner.com\/main\/wp-content\/images\/email-folders-300x211.jpg 300w\" sizes=\"(max-width: 450px) 100vw, 450px\" \/><\/a><\/p>\n<p>Skyward has a built in system for communicating with \u00a0teachers, but it can be easy to miss that tiny exclamation mark that indicates you have a message. \u00a0If you have technical difficulties with skyward and that message icon, you can use the message center to send an email to all of your students that contains classroom information and your school email with a request to email directly instead of using skyward.<\/p>\n<p>To avoid problems when communicating with parents,\u00a0the <a href=\"https:\/\/www.teachingchannel.org\/blog\/2012\/09\/20\/emailing-parents\/\">Teaching Channel<\/a> offers some practical advice. \u00a0They provides sample emails that can help with responses to parents regarding classroom behavior, grades, and classroom practices . \u00a0 The responses are designed to help address concerns with parents and keep communication channels open. \u00a0The best advice is to just slow down and not be in such a hurry to hit that send button.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>We&#8217;ve all sent emails and then wish we could have taken them back. \u00a0 Sometimes, it&#8217;s just something minor and annoying like a typo, or sometimes you reread the email later and realize the tone isn&#8217;t quite what you intended.
